TITLE

Executive Administrative Assistant

LOCATION

Orrville, OH (Close proximity to Cleveland/Akron)

REPORTS TO

Vice Chair and Chief Financial Officer & Senior Vice President, Human Resources & Corporate Communications

POSITION SUMMARY

The Executive Administrative Assistant provides executive, administrative, and overall support to the Vice Chair and Chief Financial Officer & the Senior Vice President, Human Resources & Corporate Communications, along with ad-hoc support to the Human Resources Leadership Team. This role is a highly visible representative of the organization, serving as the point of contact for internal and external constituencies on matters pertaining to the leaders. The Executive Administrative Assistant will handle confidential and sensitive information for their leader and serve as a liaison to various partners.

KEY RESPONSIBILITIES

* Provide general administrative support to the Chief Financial Officer & SVP, Human Resources

* Provide ad-hoc support to HRLT

* Support development of materials for the Board of Directors and Committees

* Primary contact for CFO s outside board administrative commitments

* Primary manager of outside service provider calls (Schedule, Direct, and Decline)

* Small-medium project management support, including activities such as synthesizing pre-work input and distilling into key themes, summarizing meeting notes and action items, and following up with team members and extended teams to ensure timely completion of tasks

* Deliver internal customer service with excellence and "delight the internal customer": our employees, people managers and leaders

* Schedule / coordinate meetings across various groups, including the Board of Directors, Leadership teams, and others

* Meeting coordination including arranging logistics, creating and maintaining agendas and material preparation

* Schedule / coordinate travel and logistics needs

* Create/edit PowerPoint presentations

* Take initiative to proactively pull together documents, presentations and other materials for key projects and meetings

* Work collaboratively with other administrative assistants to execute meetings, events and key projects seamlessly

* Develop and manage Cost Center Budgets for CFO

* May attend staff meetings, take notes and follow-up on outstanding agenda items

SELECTION CRITERIA

Education

* Bachelor s Degree is preferred, or 3 years of prior business experience is required

Experience

* Experience as an administrative assistant is required, Executive Administrative experience is preferred.

* Experience interacting at all levels of an organization

People & Communication

* Passion for People and the Smucker culture

* Ability to handle highly sensitive and confidential situations and information with discretion

* Demonstrated confidence and presence with our most senior leaders

* Problem solving skills and ability to collaborate with other departments

* Team Player

* Strong Communication skills

* Ability to proactively anticipate needs and to work accurately and successfully in a timely manner, with limited amount of supervision

Business Administration & Organization

* Proven ability to problem- solve, multi-task and deliver quality results under tight deadlines

* Small project management experience

* Thrives in a multi-task, fast-pace environment with competing priorities

* Demonstrates a high sense of urgency, while exuding a calm presence under pressure and deadlines

* Ability to take meeting notes and publish minutes (e.g., key points & decisions)

* Ability to organize self and take initiative to keep team organized

* Strong computer skills (comfortable with technology, proficient in Microsoft Suite programs)

* Strong multi-tasking capabilities
